Grouping Results -  Custom Reports

 

The Custom Reports function has a feature which allows you to turn on/turn off the ability to group report results by the individual.  The difference will be if you're building a report to search for individuals (more about who you're looking for) or for detailed data (what you're looking for).

Here's a couple examples:

 

1.) Academics: If I build a report based on enrollment within a specific semester/semester code (i.e. 201304), I'll get a list of students taking at least one course within that semester.  However, if I have "Group Results By Individual" set to Yes, I'll get every student taking course listed only once, regardless of how many courses they are enrolled in.  If I set "Group Results By Individual" to No, I'll get a list of every student listed the number of times they are taking courses

 

You can see the difference between what this setting does when you compare the Enrollment: by Campus report to the Enrollment: Detailed Report in System Reports, in the Registrar Module.

 

 

Versus

 

 

2.) Finance: The concept is very similar, when you look at Invoices generated between dates.  You'll either get a list of who was invoiced (when set to Yes), or what specific invoices were generated (when set to No).

 

3.) Development: The concept is also very similar, when looking at gifts posted between two dates. You'll either get a list of who donated (when set to Yes), or what specific donations/gifts were generated (when set to No).
